Email Integration

Forward support emails to GudDesk and reply from your shared inbox.

The email integration lets you manage support emails alongside chat conversations in your GudDesk shared inbox.

How It Works

  1. Forward incoming emails to your GudDesk inbox address
  2. Emails appear as conversations in your shared inbox
  3. Reply from GudDesk — your response is sent as a regular email
  4. The full email thread is preserved in the conversation

Setting Up Email Forwarding

1. Find Your Inbox Address

Each GudDesk workspace has a unique inbox email address:

support@inbox.guddesk.com

Find yours in Dashboard > Settings > Email.

2. Configure Forwarding

Set up email forwarding from your support email to your GudDesk inbox address:

Gmail:

  1. Go to Settings > Forwarding and POP/IMAP
  2. Add your GudDesk inbox address as a forwarding address
  3. Confirm the forwarding request

Custom domain: Set up a mail forwarding rule or MX record to forward support@yourdomain.com to your GudDesk inbox address.

3. Configure Reply-From Address

To send replies from your own domain (e.g., support@yourdomain.com):

  1. Go to Settings > Email > Reply-From
  2. Enter your custom email address
  3. Verify domain ownership via DNS (TXT record)
  4. GudDesk sends replies on your behalf via Resend

Email Threading

GudDesk preserves email threads correctly:

  • Replies include proper In-Reply-To and References headers
  • Customers see a normal email thread in their inbox
  • CC/BCC recipients are tracked in the conversation metadata

Attachments

Email attachments are automatically:

  • Displayed inline in the conversation view
  • Stored securely and linked from the conversation
  • Scannable by your AI agents for context

Auto-Responder

Set up an automatic acknowledgment email:

  1. Go to Settings > Email > Auto-Responder
  2. Enable and customize the message
  3. Optionally include links to your knowledge base

Example:

Thanks for reaching out! We've received your message and will get back to you within 24 hours. In the meantime, you might find an answer in our Help Center.

Self-Hosted Email

For self-hosted instances, configure these environment variables:

RESEND_API_KEY="your-resend-api-key"

GudDesk uses Resend for email delivery. You can use the free tier (100 emails/day) for small teams or upgrade for higher volume.
